Terms of Service

These Terms explain what you can expect from Zavimi and what we ask of you when you use it. They cover our website, application, and client-review links.

Your work stays yours. Zavimi Pro is a monthly subscription. You can cancel through your account, and your clients never need to pay to review a delivery.

1. Who we are and this agreement

Zavimi is operated by AI Crafters Solutions, SLU (“Zavimi”, “we”, “us”, or “our”), at Av. de les Nacions Unides 40, AD700 Escaldes-Engordany, Principality of Andorra. Our tax registration number (NRT) is L-721070-N. You can reach us at support@zavimi.com.

These Terms govern your use of Zavimi. Please read them before creating an account, subscribing, or participating in a client review. If you do not agree, do not use the service. If you act for a company or another organisation, you must have authority to accept these Terms on its behalf; “you” then includes that organisation. Client reviewers are subject to the provisions that apply to their use, but do not become subscribers merely by opening a review link.

2. What Zavimi provides

Zavimi is a visual-feedback and approval workspace for independent designers, creatives, and their clients. Account holders can organise client projects, upload supported images and PDFs, manage versions, and send selected work for review. Clients can leave pinned comments, request changes, or approve a delivery through a private browser link without creating an account.

You need an internet connection and a current browser. Some files cannot be previewed, including password-protected PDFs and animated images. The website and application explain supported formats and upload limits. Sample projects on our public demo are fictional; changes to them are not saved or sent to anyone.

3. Your account

Zavimi is intended for professional use by people aged 18 or older. Provide accurate account information, keep your sign-in credentials secure, and use only accounts and workspaces you are authorised to access. Tell us promptly if you suspect someone has accessed your account without permission.

You are responsible for the content and instructions you submit and for activity you authorise through your account. You must have permission to provide client contact details and to send review invitations to those people.

4. Plans, payments, and renewal

Creating an account is free. You can explore your dashboard and profile before subscribing. A paid subscription is required to create clients or projects, upload work, or send deliveries for review. There is no free trial, and client reviewers do not pay to review your deliveries.

The standard Zavimi Pro plan is US$9 per month, unless a different offer is expressly shown at checkout. It includes unlimited clients and deliveries, subject to the storage, file limits, and acceptable-use rules below. The checkout confirms the price, currency, billing interval, applicable taxes, and total before you pay.

Your subscription renews automatically each month until cancelled. By subscribing, you authorise recurring charges through the payment method you provide. Paid access begins when payment and subscription activation are confirmed. Failed payments may interrupt paid access; you can update your payment method in the billing portal.

Payments are handled by Creem, our merchant of record and contractual reseller. Creem handles checkout, payment collection, applicable transaction taxes, invoices, and payment refunds. We provide the Zavimi service and product support. Purchases and the billing portal are also subject to Creem’s Buyer Terms, which prevail if they conflict with these Terms in relation to your purchase.

We will give existing subscribers at least 30 days’ advance notice of an increase to the subscription price. An increase applies only to a future renewal, and you may cancel before it takes effect. Changes to taxes required by law may follow a different timetable.

5. Cancelling your subscription

You can cancel without contacting us: open My profile → Subscription → Manage billing and follow the cancellation steps in Creem’s customer portal. The portal is also accessible from your purchase email. Cancel before your next renewal to avoid the next charge, and keep the cancellation confirmation.

Cancellation normally takes effect at the end of the billing period already paid for, with paid access continuing until then. If the portal presents an immediate cancellation option, check its stated effect before confirming. Cancelling does not itself request a refund or delete your account and files.

If you cannot access the portal or need help cancelling, email support@zavimi.com with your account email and, if available, your order ID. Do not send your password or full card details.

6. Refunds and consumer rights

First subscription payment: if Zavimi is not right for you, request a refund within 14 calendar days of your first subscription payment. We will approve a full refund of that payment, including if you have tried the service. This voluntary policy applies to your first paid subscription, not each renewal or a later resubscription.

Renewals and later requests: we do not normally refund renewal payments or unused parts of a billing period simply because you stop using Zavimi. We will correct duplicate or incorrect charges and review requests involving service failures. Where the service is defective or not as described, we will provide the remedy required by applicable law, which may include a correction, price reduction, or refund.

To request a refund, use our contact form or email support@zavimi.com. Include your account email and order ID if available. We respond within 3 business days. Approved refunds are processed through Creem to the original payment method; your payment provider’s processing time may vary. We will explain any effect a refund has on your subscription and access when we confirm it.

Your mandatory rights are preserved. If you qualify as a consumer, you may also have a statutory withdrawal period, including a 14-day period for eligible EU/EEA distance contracts, and remedies for faulty digital services. These Terms do not shorten those rights or require you to waive them merely by using Zavimi. You can exercise a withdrawal right by sending us or Creem a clear statement that you wish to withdraw; no special wording is required.

7. Ownership of your work and permission to operate

You and your licensors keep ownership of your uploaded files, designs, comments, and other content. You must have the rights and permissions needed to upload, store, share, and process that content, including any personal information it contains.

You give us a limited, non-exclusive permission to host, copy, process, and display that content only as needed to provide and secure Zavimi and carry out your instructions. This includes generating previews, keeping versions, sending review notifications, showing selected deliveries to link holders, and making originals available when you authorise it. We may use the service providers described in our Privacy Policy for these purposes.

This permission lasts while the content is held for those purposes, including necessary backup retention and legal obligations after deletion. It does not give us permission to sell your work or use it in public marketing without your separate permission. You may not copy or resell the Zavimi application, branding, or website assets except where we permit it or the law allows it.

Anyone with an active review link can open the selected delivery, including someone the link is forwarded to. Keep links private and share them only with intended reviewers. Review links normally expire after 30 days and can be revoked or replaced. A link does not expose your other projects or private drafts.

Reviewers must be authorised to view the work and provide feedback on behalf of the intended recipient. They must not share content or links without permission. Because review access does not require an account, a recorded decision is not independent verification of the reviewer’s identity or authority.

Approval and change requests record a decision about a delivery in Zavimi. They do not, by themselves, transfer intellectual property, settle invoices, or replace your separate agreement with your client. You remain responsible for agreeing scope, payment, rights, and final acceptance with your client.

Clients normally see previews. After approval, the account holder can release the originals in that delivery for download and can disable future downloads. Copies already downloaded or otherwise saved cannot be recalled by revoking a link or deleting content.

9. Acceptable use and limits

Use Zavimi for lawful creative collaboration. You must not:

Unlimited clients and deliveries does not mean unlimited storage or file sizes. The standard account storage allowance is 100 GiB (about 107.37 GB). Original files, retained versions, archived files, and pending uploads or cleanup count towards it. Current per-file limits are 500 MiB for images and 1 GiB and 1,000 pages for PDFs. The application shows your storage usage and applicable upload restrictions.

We may restrict offending content or activity to protect people, comply with law, or keep the service secure. Please report misuse or a rights concern through our contact page, with enough detail to identify the issue and your authority to report it.

10. Privacy and client information

Our Privacy Policy explains the information we collect, why we use it, our providers, retention, and your rights. Our Cookie Policy explains browser storage and optional tracking. Using the service or sending a support request does not itself consent to optional analytics or advertising.

Account holders are responsible for having a lawful basis to provide client information and content, and for giving clients any notices their use requires. If you need a data-processing agreement for your organisation, contact us before uploading personal data that requires one. These Terms do not replace any separate data-processing agreement required by law.

11. Account closure and deletion

You can request permanent account deletion from My profile. An active subscription must end first; a cancellation scheduled for a future date still counts as active until it ends. If account closure or cancellation is blocked, contact support so we can help you complete it.

Before deleting your account or work, download anything you need to keep. Account deletion removes your projects, clients, files and versions, deliveries, comments, and review access after cleanup completes. Individual file or project deletion can also remove material from earlier deliveries. Deletion is permanent and does not remove copies already held by others or their independently saved records. Payment records, legal retention, and provider backups follow the retention rules in the Privacy Policy.

We may suspend or terminate access for a material breach of these Terms, non-payment, a legal requirement, or a serious security risk. Where reasonably possible, we will explain the reason and give you an opportunity to resolve it or retrieve your content. Urgent protective action may be necessary without advance notice. Contact support if you believe an action was mistaken.

12. Service changes and availability

We will use reasonable care and skill to provide Zavimi. Maintenance, technical problems, and events outside our reasonable control can interrupt availability. We do not promise uninterrupted operation or that every file can be processed. Keep your own copies of important original work.

We may improve or change the service. We will give reasonable advance notice of a material reduction in paid functionality or discontinuation, except where urgent legal or security reasons prevent it. If we discontinue a paid service before the end of your prepaid period, we will arrange a refund through Creem for the unused portion. Any stronger rights you have by law remain.

13. Responsibility and liability

Nothing in these Terms excludes liability for fraud, deliberate misconduct, gross negligence, death or personal injury caused by negligence, or any liability or consumer protection that cannot lawfully be excluded or limited.

For business users, to the extent permitted by law and subject to the paragraph above, we are not liable for indirect or consequential losses, lost profits, or lost business opportunities. Our total liability arising from or relating to the service is limited to the greater of US$100 or the subscription fees you paid for Zavimi in the 12 months before the event giving rise to the claim. This limit does not restrict your entitlement to a refund under these Terms.

If you are a consumer, the business-user exclusions and cap above do not apply to you. Your rights to reasonable care and skill, conformity of digital services, and compensation under applicable law remain unaffected.

14. Changes to these Terms and applicable law

We may update these Terms to reflect service changes or legal requirements. We will update the version and date on this page and notify account holders of material changes in advance, normally at least 30 days before they take effect. Urgent legal or security changes may take effect sooner. Changes will not apply retroactively; where fresh agreement is required, we will ask for it. You may stop using the service and cancel before changes take effect.

Andorran law governs your agreement with AI Crafters Solutions, SLU. For business users, the courts of Andorra have jurisdiction. If you are a consumer, you keep the mandatory protections and rights to bring proceedings in the courts available to you under the law of your country of residence. Your separate purchase agreement with Creem follows its Buyer Terms.

If a provision is unenforceable, the remaining provisions continue to apply. A delay in enforcing a provision is not a waiver of it. These Terms, together with any separate agreement expressly made with you, govern your use of Zavimi and do not alter rights you already have under mandatory law.

15. Questions, complaints, and support

Email support@zavimi.com or use our contact form for product help, billing, refunds, or a concern about these Terms. We respond within 3 business days. If a complaint is unresolved, reply to the same conversation and ask for it to be reviewed. This does not limit your right to contact Creem, your payment provider, a regulator, or a court.
